Best tracking tool

  • February 07, 2024
  • Review provided by G2

What do you like best about the product?
I have used smart sheet for tracking Jira ticket. What I found the most appealing is that it is very easy to collaborate with tableau dashboard . It greatly enhances our productivity and facilitates effective communication, regardless of our physical locations.
What do you dislike about the product?
I have faced issue due to rigidity in cells while using multiple formulas and connecting these formulas to chart . Also found issues in connecting the Smart sheet, PowerPoint presentation .
What problems is the product solving and how is that benefiting you?
In smart sheet, we are able to assign tickets to multiple users and this will give an automated message to the users regarding an update on each cell. This helped in streamlining the work process and the notification sent to the assigned users helps in work allocation.

Smartsheet Review - Was Good, but falling behind its peers

  • February 07, 2024
  • Review provided by G2

What do you like best about the product?
The Gantt charts and critical path is excellent. The Dashboard are also very easy to setup. The sheet forumla are similar to excel. The Forms and Workflows are also pretty good. Its product I use everyday. Its easy to setup with zero knowledge base.
What do you dislike about the product?
The product pricing for business customer is unfriendly. Some basic functionality items that should be part of the monthly fee like calander view, pivot table and work apps, are not included and expensive. The development of new product features has been very slow of recent and is falling behind some less (airtable, monday and clickup). Some basic function are painful like attaching from form pictures into column. More complex logic is needed in form fields like if statements. Customer support is mixed and referring experienced clients to knowledge platform is insulting. Personnal they have some catchup to do.
What problems is the product solving and how is that benefiting you?
The dashboard are used as centralised reporting tool from various other systems. Thats is excellent.

The tool is good for collaboration, but it is expensive and lacks features that are available in other products

How has it helped my organization?

The only benefit of the solution is collaboration. When I assign tasks, my team members get an email, and they can click on it and update their tasks. Smartsheet’s reporting capabilities help us with capacity planning.

What is most valuable?

Smartsheet is a really good tool for collaboration. If I put somebody’s name into an assignment, they get an email. They know what they’re being assigned, and they can access it. I don't have to run around chasing people. The emails help in workflow efficiency. In terms of overall planning, capacity consolidation across plans is quite useful, but it takes a lot of effort to get it to work properly. It's not that intelligent, but it's better than Microsoft Project. From a workflow perspective, it's pretty powerful.

What needs improvement?

I do not like the solution. From a project management and planning point of view, it's awful. The product must adopt some of the functionalities that are already in Microsoft Project. They must adopt functionalities like auto-scheduling, linking tasks together automatically, and scheduling based on the dependencies.

We have to manually put in every dependency in Smartsheet. It is incredibly annoying. In Microsoft Project, we just highlight the two that we want to link and click the link option, and it makes them dependent.

For how long have I used the solution?

I have been using the solution for six months.

What do I think about the stability of the solution?

The tool’s stability is fine.

What do I think about the scalability of the solution?

The tool is very easy to scale. It seems unlimited. It's certainly within our requirements. Five or six people use it within one business unit in our organization. There might be more users in other teams. It is an engineering company. So, we use the product throughout the world.

Which solution did I use previously and why did I switch?

Microsoft Project is way quicker for actual active planning. We have moved to Smartsheet because we've got a geographically distributed team. Now, I create the project in Microsoft Project and put it into Smartsheet for collaboration. Microsoft Project is way more functionally rich, so things are quicker. The ROI on Microsoft Project would be higher than on Smartsheet.

How was the initial setup?

There is no deployment needed. We just create Smartsheet and share. It does not require maintenance.

What's my experience with pricing, setup cost, and licensing?

The solution is too expensive. For what I use it for, it's too expensive. I wouldn't pay for it myself. I would prefer to buy Microsoft Project or use Zoho Projects.

Which other solutions did I evaluate?

I am currently evaluating Zoho Projects for my own use.

What other advice do I have?

Overall, I rate the product a six out of ten.

Drives efficiency but isn't aesthetically pleasing (alot to be desired)

What do you like best about the product?
-Application sopshisticates meeting series governance, with easy to set up portals/dashboards which enable agenda submission from all guests and notes. Creating a single destination for agenda rollcalls removed email communication and drives efficiency as tracks agenda items from one meeting to the next
- Application is quick and easy to load (windows). Having the app bookmarked to my homescreen means it's only ever one click away. Additionally updates are little and often which caused no disruption to service.
- Automation / sequencing events in project management. The ability to move one date, which then automatically moves all of the others saves a lot of time (from manual updates)
- Generally lots of pre-made templates which are easy to use. I often find even when I do use Google to help, Smartsheet often provides the most valuable direction/templates with clear instructions on how to use.
- Strong Reliability: As far as tools go, during my time using the app it hasn't been 'down' once (whether this be maintaince or unexpected interuption)
- Foldering system / navigation is easy to understand, enabling ease of use
What do you dislike about the product?
- User interface has a lot to be desired. Can often be daunting to new users when trying to convince usage. Despite majority of features transferring over from excel etc, It often isn't the most obvious where to find features/buttons.
- Despite having auto save switched on, I find myself constantly having to save when jumping between different sheets which carries risk of updates being lost. It would be great if auto save can save after any amend
- Email Notifications have a lot to be desired aesthetically. They tend to look and feel more like SPAM and not personal, which means recievers can often ignore
- Reporting / views are not easy to manage - still haven't been able to product a PDF successfully of a GANTT chart which can be understood by others
- Guidance on how to maximise notifications would be preferred as it can be very easy to over spam users with notifications unintentionally
What problems is the product solving and how is that benefiting you?
Smartsheet is an effective project management tool which drives efficiency across the administrative side of project management (such as tracking milestones/tasks, visualising). It offers lots of different ways to do the same thing, such as visualisation of timelines, or project views of tasks.

Smartsheet typically has plenty of templated options available for usage, so when trying to improve existing processes or start something knew Smartsheet is typically the first place i'll go to start my search.

Whilst we haven't found a visualisation solution for calendar distribution via email, when viewing in the tool it is easy to manipulate into the specific views a user needs.

What do you dislike about the product?
Meeting minutes and cost plan is not very flexsible when you copy and past something, or create more lines.
What problems is the product solving and how is that benefiting you?
When you have more project with one client, smartsheet can give a full picture of all projects cost, programme.
