lots of options, lots to learn but is pretty user friendly

Hyper links are great. I love the ways you can sort the sheet for the specific info needed

I have never really found a way to lock the sheet. I have been able to make reports but someone always sorts the main sheet.

Smartsheet can become expensive for larger teams or advanced features. Also, it may have a learning curve for users unfamiliar with project management tools.

Smartsheet helps streamline data collection and reporting by simplifying intake form creation and automating quota submissions. This saves time, reduces manual errors, and provides real-time visibility through dashboards for better decision-making.

What do you like best about the product?
I enjoy the fact that different teams and individuals can collaborate seamlessly on shared projects while maintaining visibility and accountability. It’s intuitive, highly customisable, and bridges the gap between spreadsheets and project management tools.
What do you dislike about the product?
While Smartsheet offers a lot of flexibility, some of the more advanced features - like automation workflows and reporting - can be difficult to master without dedicated training. The pricing model can also be limiting for smaller teams or those with fluctuating user needs.
What problems is the product solving and how is that benefiting you?
Smartsheet is helping us overcome fragmented communication and siloed project tracking. It centralises workflows across teams, improves transparency, and makes it easier to manage complex timelines and ownership. The ability to automate repetitive tasks and generate live dashboards has saved us time and reduced manual reporting errors.
One place for everything
What do you like best about the product?
My favorite thing about Smartsheet is having everything in one place to track a project's progress. It's easy to visualize the tasks that have been completed, those that are in progress, and those not yet started, so that my team and I can stay on track with project goals and deadlines.
What do you dislike about the product?
The only downside to Smartsheet is adding one more thing to check everyday, but this is an issue that may be resolved with integration of Smartsheet into our other systems.
What problems is the product solving and how is that benefiting you?
Smartsheet keeps all our our project goals and steps in one place, so we don't have to keep track of it on our own. We conduct research, and each project can have anywhere from 25-100 tasks to complete. Having them all in one place allows us to stay on track.

What do you like best about the product?
Smartsheet is a powerful tool for task, document, and process management.
What do you dislike about the product?
Backups are not in a format that can be easily used, and saving them from Smartsheet is a manual process.
What problems is the product solving and how is that benefiting you?
Smartsheet alows me to manage Information Security Management Systems for several clients at the same time. The attachenment options is ideal for document management dashboards.

What do you like best about the product?
As an internal user, I’ve found Smartsheet to be a capable and flexible platform for managing projects, workflows, and cross-functional coordination. Its spreadsheet-style layout makes it easy to adopt, especially for teams that are already comfortable working in Excel. I appreciate the ability to layer in automation rules, conditional formatting, and dashboards, which allow us to scale beyond static task lists and actually build repeatable, visible processes.
We use Smartsheet for everything from project tracking to resource planning and operations workflows. With some configuration, it has replaced ad hoc spreadsheets and helped us centralize information in a way that’s accessible and transparent. I also value the real-time collaboration features—comments, attachments, and notifications—which make it easier to manage distributed teams. For internal use, it’s a strong tool that bridges the gap between spreadsheets and full project management systems.

In contrast, my experience using Smartsheet as a third-party contributor—specifically when responding to external audit requests—has been significantly more frustrating.
When auditors invite us into their Smartsheet workspace to submit data, our access is extremely limited. We can typically only see a few assigned rows or forms, which might seem secure on the surface, but actually impedes clarity and efficiency. We often don’t know where in the process our information sits, whether it has been reviewed, or if follow-ups are pending. There is no way to track status or view historical submissions unless we manage those records externally.
Even more problematic is the lack of global search. If I need to reference a document we uploaded two weeks ago in response to a similar question—or confirm whether we already addressed a particular control—there’s no built-in way to do that. We're essentially flying blind unless we keep a parallel log outside of Smartsheet.
Another critical limitation is the absence of seamless integration with systems like QuickBooks or any direct accounting platform. From our side, we cannot pipe in invoice data, payment records, or financial statements programmatically. All of this has to be manually exported, reformatted, and uploaded into the Smartsheet instance, one audit request at a time. There’s no version control, no automated logging, and no audit trail we can independently verify.
While Smartsheet may be powerful for internal users, it does not offer a smooth or reliable workflow for external collaborators in a compliance-driven context. If the goal is to create an efficient, transparent, and repeatable audit response mechanism, Smartsheet—at least as currently implemented for external contributors—introduces more friction than it removes.

Great tool, sometimes a little confusing to navigate but very robust.

There are so many capabilities - from complex conditioning on fields, break outs of calendars, goals, project management tools.

It's different from excel just enough that I sometimes get confused or have a hard time navigating/adding new things in the way I envisioned. This is probably user error that I need to maybe watch some tutorials, it's not as intuitive as I thought

We can have a chat going on every single line item separately, easily adding screenshots, I can make custom status tags and have emails with comments immediately send out to my team as I update the shared spreadsheet with them

Reliable Platform With Room for UX and Process Improvements
What do you like best about the product?
The platform has been a consistent and dependable tool for project management within our department. Unlike others we’ve used in the past—which suffered from frequent outages and stability issues—this one has been remarkably stable, allowing our teams to stay productive without unexpected disruptions. The learning curve is also reasonable; new users can get up to speed relatively quickly without extensive training.
What do you dislike about the product?
The layout and user experience could be significantly improved. Compared to more modern tools like Jira or Azure DevOps, the interface feels overly simplistic and lacks polish. While it offers some automation features, they’re not as intuitive or robust as other platforms. Additionally, maintaining consistency across teams is challenging. For instance, where platforms like Jira offer standardized epics and stories that teams can easily reference and tag, this tool allows for too much variation in naming and structure, which often leads to confusion and misalignment.

Smartsheet has provided a consistent and reliable platform for managing our projects, which has been a significant benefit in my current role. It allows our team to stay aligned on tasks, timelines, and priorities without the disruptions I've encountered with other tools in past roles.
The platform is also relatively easy to learn, which helps streamline onboarding and ensures new users can contribute quickly. While there’s room for improvement in layout and standardization, Smartsheet still gives us a centralized space to track progress, share updates, and keep work organized across multiple stakeholders.

What do you like best about the product?
possibility to create dashboards with just a few clicks, (almost) full excel functionalities but easier.

small companies cannot afford it because of cutting costs reasons.

Amazing enterprise product with scalable features
What do you like best about the product?
Ease of using. There is almost no tutorial required. Interface is clean and simple, effective features and integration options.
What do you dislike about the product?
I feel there can be a lot more thoughtful integration with microsoft. Ticketing is difficult to keep track of. I am currenty using Jira as well, so incorporating some features like ticketing and action tracking can be better.

Keeping track of timelines, and project progress. Create subtasks, and enabling different views of project.
