Highly Customizable with Room for AI Improvement

What do you like best about the product?
I like Notion's organization and the unique way to create everything with my own pa zazzz. It's great for making a planner, adding transactions with just a click of a button instead of going back and forth. I also like how Notion AI can automatically add notes and saves not only my files but also reads my notes and summarizes them.
What do you dislike about the product?
The Notion AI sometimes doesn't understand what I ask it to do and ruins most of my templates. I want to use it with Google Drive and Gmail but I don't have a business. I think I pay enough for a student to allow us to use those while inside Notion, making it more accessible. With Notion AI, the initial setup didn't go very well.
What problems is the product solving and how is that benefiting you?
Notion eases my financial stress, tracks book progress, and stores my course notes for future reference.

What do you like best about the product?
I use Notion to organize my daily tasks and manage my workflow. It solves my problem of arranging my schedule, taking notes, and collaborating with my team. I like that Notion allows me to do multiple things like managing tasks, and it assists with collaboration, where other apps fall short. The ability to share notes and documents with team members is very handy and useful. I find task management in Notion powerful because it offers flexibility and structure, letting me keep all tasks in one place with to-do lists, Kanban boards, calendars, and more. The templates reduce effort, allowing me to organize work in a way that suits my brain. Notion’s note-taking combines the best of Google Docs, Evernote, and Wiki, with rich content options, linked notes, and excellent search capabilities. For collaboration, real-time editing is crucial, as are features like task assignment and page sharing with varied permissions, ensuring all discussions and context stay attached to the work. This significantly reduces the friction of using multiple platforms like Google Docs and Slack.
What do you dislike about the product?
Notion slows down with big databases, heavy dashboards, or lots of collaborators. It has weak offline mode where editing and syncing offline is unreliable. There's limited automation—no true recurring tasks or workflow rules, and minimal reminders. The database complexity with relations, rollups, and formulas is powerful but hard to learn. Permissions are clunky and managing access in a big workspace is confusing. The mobile app struggles with database editing, drag-and-drop, and navigation feeling heavy and awkward. Search can be slow or inaccurate in bigger workspaces and lacks advanced filtering. Limited exports and backups lose structure, and there's no local, full-fidelity backup option.
What problems is the product solving and how is that benefiting you?
I use Notion to organize tasks like scheduling and note-taking and collaborate with my team. It combines task management flexibility, rich note-taking, and collaborative features, streamlining work and reducing friction by keeping everything in one ecosystem.

Shared documentation has improved async collaboration and supports thoughtful decision making

What is our primary use case?

My main use case for Notion is documentation, roadmapping, and Notion AI for note taking and summarizations.

In terms of documentation, for example, in product, I start with writing a story doc, which is a high level description of the opportunity, and then I build subpages with more specific information, such as technical design, product requirement documentation, roadmaps, and pages that are specific to domains such as commercial or compliance. I create a hub with subpages for both product and technical work as well as for alignment with other departments.

What is unique about how my team uses Notion is that we use Notion AI to transcribe calls and also use Notion AI to check with artificial intelligence how decision making on the call could be improved.

What is most valuable?

In my opinion, the best features Notion offers are easy linking of pages, great tables, AI summarizations, and AI note taking.

Notion has positively impacted my organization by allowing us to work better asynchronously. Instead of having many alignment meetings, we write our thinking down on Notion, share it with team members who can then think through a topic thoroughly and add their comments to improve our overall strategic decision making.

I have noticed specific outcomes such as fewer meetings and improved collaboration, which contributes to better alignment and fewer mistakes or miscommunication.

What needs improvement?

I think Notion can be improved by making AI meeting notes speaker-based, as when I ask to create a summary, it does not understand whether it was a specific user or a person with a specific role who mentioned something, which is important for attributing value to what people say.

Furthermore, the overall Notion AI interface on the right-hand side is less convenient than the pure ChatGPT interface because it is not full screen and feels packed and busy.

Also, sometimes tagging when I search for people to tag does not identify people immediately even though they are part of the team. It seems to have a glitch, and that is the main issue.

Maybe some track changes feature would be beneficial, as some people still prefer to use Word rather than Notion for the track changes feature.

I have been using Notion for about four years.

What do I think about the stability of the solution?

Notion is stable.

What do I think about the scalability of the solution?

I have not seen any issues with Notion's scalability.

How are customer service and support?

Customer support for Notion is actually great; they are really responsive.

How would you rate customer service and support?

Which solution did I use previously and why did I switch?

Previously, I used the Microsoft Suite, and I switched because Notion is more user-friendly than SharePoint.

What was our ROI?

Unfortunately, I have not tracked any specific metrics such as time saved, money saved, or fewer employees needed that can be attributed specifically to Notion.

What's my experience with pricing, setup cost, and licensing?

My experience with pricing, setup cost, and licensing is fine, but it is quite annoying that any upgrades on Notion need to happen with all team members. It is impossible to give some features or capabilities to only a subset of users, which actually slows down the adoption of some features due to significant cost implications. I would say that has been the biggest issue with Notion, and generally, it is not cheap.

Which other solutions did I evaluate?

I did not evaluate other options before choosing Notion.

What other advice do I have?

My advice to others looking into using Notion is that change management is key. If you have employees who are really set on the Microsoft Suite, it may be challenging to switch the whole organization to Notion, and you may end up in a situation where half of your organization's documents live on SharePoint and the other half on Notion. I would rate my overall experience with Notion an eight out of ten.

This tool is useful for building a shared platform and organizing separate pages based on different types of work or teams. It helps keep everything structured and accessible for everyone involved.

I find it challenging to lock down certain sections of pages. It can be difficult to secure specific areas as needed.

What do you like best about the product?
I like the fluidity of connection in Notion; you can make anything accessible from any page, which is great. It makes it easier to reference material from other classes and connect dots about conditions or treatments.
What do you dislike about the product?
I think the aesthetic customizability should be vastly improved. It's a little difficult, there's lots of limitations compared to most notetaking/writing software like docs, word, etc. So to get the page to look how I want is not really possible, and it took a while to understand that.
What problems is the product solving and how is that benefiting you?
Notion helps me create practice tests like my exams and makes it easier to reference and connect material from different classes.

Customizable and Easy to Implement—A Game Changer for Our Team

What do you like best about the product?
The ability to customize each aspect of our database, as well as each page has been a game changer in our business. We have other software that we use, but Notion's ability to be customized (easily, and internally by our team, has been fantastic. It was also easy to implement, and took only a few days before we were fully up and running. We are using Notion on a daily basis now, by multiple members of our team.
What do you dislike about the product?
Nothing significant at this time. I guess if there was a way to utilize other AI tools from within Notion, that would be a value add for us.
What problems is the product solving and how is that benefiting you?
A simple database that multiple members of our team can use in real time. We have tried many other tools, and nothing else was both as effective and simple to implement and utilize.

Effortless Documentation, Expensive Extras

What do you like best about the product?
I like Notion for its ease of creating docs, as well as how easy it is to find and modify information. It's also very easy to set up.
What do you dislike about the product?
The voice feature doesn't work well. And the cost is too much for the Notion Plus is $10 per month - which is a bit much for me.
What problems is the product solving and how is that benefiting you?
I use Notion to quickly take notes, easily refer to them, and document things flexibly. It simplifies creating, finding, and modifying documents.
