SpiraPlan uses a contract pricing model based on concurrent users. You choose one tier that fits how many people access the system at the same time, from 3 up to 1000 concurrent users. Every tier includes unlimited named users and unlimited projects, so pricing scales only with simultaneous usage, not total headcount. This lets many people share a set number of licenses. The tiers step up through 3, 5, 10, 20, 30, 50, 100, 150, 200, 250, 300, 500, 750, and 1000 concurrent users. You pick the tier matching your peak concurrent access.

What counts as one concurrent user for billing purposes?
A concurrent user is any person logged into the system at the same moment, not a named account. You can register unlimited named users. Billing tracks only peak simultaneous logins. If people work in different time zones, they can share the same concurrent licenses without needing separate ones.
What happens if more people try to log in than my tier allows?
Your tier caps how many people can access the system at the same time. If your team regularly hits that cap, you move to a higher tier. Named user count and project count never affect this. You size your tier around peak simultaneous access, not total staff.
How does the price change when I move to a higher concurrent user tier?
Moving up applies the higher tier's price to your whole subscription, since each tier is a single edition covering a set concurrent user count. The vendor charges the incremental difference between your current tier and the higher one when you upgrade.

What do you like best about the product?
I have used SpiraPlan for managing my freelance projects and it has been one of the most comprehensive tools I have come across. What I liked most is that everything from task management, bug tracking, requirements and project planning is available in one place, so I never had to switch between multiple tools. The interface is clean and easy to navigate, setting up projects and assigning tasks was very straightforward. Real time tracking helped me stay on top of progress and deadlines without any confusion. The Gantt chart and Kanban board views made planning and monitoring much more visual and organized. It also integrates well with other tools which made my overall workflow much smoother.
What do you dislike about the product?
The learning curve is a bit steep when you first get started, especially for someone who is new to ALM tools. It took me some time to get comfortable with all the features and navigation. Also the performance felt a bit slow at times when working with larger projects with many tasks and requirements, which could get a little frustrating during busy working sessions.
What problems is the product solving and how is that benefiting you?
Before SpiraPlan, managing multiple freelance projects meant juggling different tools for tasks, bugs and requirements which was time consuming and confusing. SpiraPlan brought everything under one roof and made it much easier to track progress, manage deadlines and stay organized. It saved me a lot of time, reduced confusion and helped me deliver my freelance projects in a more structured and professional way.

I’ve run into occasional performance and slowness issues. The workflow configuration isn’t always intuitive, and there are some limitations when it comes to customization. Also, the list views can feel cramped, which makes it harder to scan and work through items comfortably.

What do you like best about the product?
I primarily use SpiraPlan as a unified platform for managing the full software development lifecycle, and I appreciate how it acts as the central source of truth across multiple teams. I use it to define and structure requirements hierarchically, map them to test cases, and ensure traceability through to defects and releases. This is valuable for complex or client-facing projects where auditability and clarity are critical. SpiraPlan also helps me coordinate between development, QA, and stakeholders without relying on multiple disconnected tools. The built-in test management and automation integration are particularly useful for maintaining quality at scale. I like how the platform reduces fragmentation in the development process and maintains a tight feedback loop between planning, execution, and validation. I really appreciate SpiraPlan’s ability to unify the entire development lifecycle in a single, structured platform without feeling overly heavy. The traceability feature is standout, allowing for direct linkages of requirements to test coverage and defects, providing full visibility, which makes debugging and client reporting efficient. I also appreciate the balance between usability and depth; the interface is straightforward for quick onboarding but also supports complex workflows as needed.
