Great and keeps getting better
What do you like best about the product?
Smartsheet is not low-code but no-code making it easy for project managers to create their own automations of notifications and requests for updates. Therefore, the project plan can pro-actively notify the project manager of tasks that are nearing risk of becoming past due and those already past due. Likewise, the project plan can push requests for updates to assignees whether they have a Smartsheet license or not. Even where you do not want assignees to see the project plan, they can respond with status updates for their specific assigned tasks. Filters, conditional formatting, the different views (Board, Card, Gantt, Grid, and Calendar), reports, and dashboards enable the project manager and PMO to present data in multiple ways for different audiences without having to re-enter data - it all comes from the same single source. Roll-ups from the project plans to the PMO level for snapshots of progress of all progress is not difficult via dashboards. Harder is getting the individual project managers to temper their creative streaks renaming columns breaking roll-up reports. I use the Jira connector as well for automated creation of JIRA tickets to triage by our Product teams. Synchronous updates are pushed back to our integrated Smartsheet and copied out to individual projects to provide near real-time updates on UAT defect reports.
What do you dislike about the product?
I am not a big fan of the helper columns required in order to see and use Summary fields in formulas.
I wish that the Jira connector passed Comments/Conversations and attachments from Smartsheet to Jira. It currently does not.
Smartsheet seems to follow the SaaS model of continually improving and expanding the product, yet expansion is an upsell, not part of the baseline product. Improvements in the baseline product seem to fall more in the line of adding new formula possibilities. However, I admit that I do not read the details of every new release.
Because of add-on prices, we are looking at Zapier and other options for integrations.
The few times I have used support, it has been underwhelming. Your experience may differ. Instead, Smartsheet has a vibrant community, and people try to help each other there. The answers there tend to be faster and less tedious to get to a solution.
Sometimes the platform is slow to load and times out. When I opened a ticket, I got what seemed to be an auto-response advising me to check the ports, VPN, provide a HAR file, etc. It was working fine the day before and earlier today and now doesn't. It wasn't worth the time to pursue. Shortly thereafter, it was fine. It reminded me of "Have you checked that the computer is plugged in."

Smartsheet enables internal and external teams to collaborate on a project with full and real-time visibility into the status of the project.

The ability to have dashboards for all projects, displaying general numbers and colors, helps us ensure projects are on task.

Nothing that comes to mind. Smartsheet has what we need to perform our tasks.

It helps us organize the different projects we are working on and the ability to provide back information to the teams letting them know what we are working on or what we have worked on.

The API feature allowing us to make a custom order portal which feeds into smartsheets.

Multiple people working in a sheet can be hard, updates are not live like they can be on a google sheet or excel, where you can see other people's cursors.
What problems is the product solving and how is that benefiting you?
A custom order health monitoring system which uses the API to pull information about how many orders are currently pending by which sales person.
A Reliable and Intuitive Tool for Project Management
What do you like best about the product?
I appreciate how intuitive and flexible Smartsheet is. It’s easy to pick up and use right away, but still robust enough to handle complex projects and workflows. The spreadsheet-like layout makes it familiar, and the ability to collaborate, share updates, and automate tasks has really helped keep my team organized and on track. Overall, it’s a great tool for managing tasks, timelines, and accountability in one place.
What do you dislike about the product?
There are occasional limitations when it comes to formatting and advanced reporting. Sometimes I find myself wanting more customizable options for dashboards or more control over how data is displayed and filtered. While the core features work well, there’s always room for a bit more polish on the advanced functionality.
What problems is the product solving and how is that benefiting you?
Forms, inventory, task tracking.
I fell in love with it once I figured out the ins and outs.
What do you like best about the product?
I love that you can build a database and then build different things from the database. In my line of work, different departments have different needs. But it all revolves a single database so everyone is has access to what they need and everyone can be on the same page. This allows us to build different areas that all connect back to the main data sorce. With the abilty to create a dashboard for a quick overview of whats going on in different parts. It has been a major help to push out business further.
What do you dislike about the product?
Only downside I have ran into, is the time it takes to understand how things can work together. It took a bit of trial and error to really understand the full potienal this software has to offer. But once you understand and know your way around, its next level.

It allows us to have all of our Fleet vehicle information in one spot. then allows us to build off of that for different departments to make things more efficent and clear for everyone and what their responsabilties are.
Basic Smartsheet User
What do you like best about the product?
Smartsheet has been an invaluable tool for the projects I’ve been working on. I appreciate the ability to set up automated reminders, attach documents directly to rows, and communicate with team members within the sheet itself. The automation features are especially helpful—once a rule is created, it runs on its own. For example, I’ve set up a rule to automatically highlight vacant spots on my sheet, making them easy to spot at a glance.
I also really like the parent/child row structure, which allows me to organize information hierarchically and collapse sections I don’t need to see. This keeps my sheets clean and focused without losing important details.
Smartsheet offers a wide range of features, and I’m excited to continue exploring everything it can do.

What do you dislike about the product?
One feature I wish Smartsheet had is the ability to use tabs like in Excel. Tabs are incredibly convenient when working on related components of a project that don’t necessarily need to live in the main sheet. Having the option to separate information while keeping it within the same document would make managing complex projects even easier.
What problems is the product solving and how is that benefiting you?
Smartsheet is helping me solve the challenge of tracking multiple ongoing projects in an organized and efficient way. Being able to share sheets with collaborators, attach relevant documents directly to rows, create automated rules, and set reminders all in one place has streamlined my workflow. It reduces the need to chase down information across emails or other platforms and helps ensure that nothing falls through the cracks. These features make project management more transparent, collaborative, and manageable.
Smartsheet is a Smart Choice
What do you like best about the product?
Smartsheet has honestly become one of my go-to tools for staying organized and keeping my marketing projects on track. What I love most is how flexible it is. I use it as a spreadsheet, a project tracker, and a collaboration tool all in one. I can easily assign tasks, set deadlines, and see the whole picture without bouncing between a dozen different tools. Plus, the automation features save me a ton of time on repetitive updates and follow-ups. SmartSheet is also utilized by our New Product Development, so it's super helpful to track cross-functional milestones throughout the company.
What do you dislike about the product?
I would love to see SmartSheet continue to advance in their visual asset management tools. Adding more collaboration for review of mock-ups would be super helpful. It's also a little tough to understand all the tools offered, especially for some of the non-technical members of the team. Finally, I would love for there to be true integration with HubSpot - that would truly be the meeting of our minds!
What problems is the product solving and how is that benefiting you?
Smartsheet helps us tackle a few major challenges that used to slow us down. First, it centralizes project management, which means we’re no longer juggling a mix of spreadsheets, emails, and scattered task lists. Everyone can see project timelines, owners, and progress in one place. Second, it streamlines workflow management. We’ve set up automations and approval flows that cut down on manual follow-ups and repetitive tasks, so our team can focus more on the work that actually moves the needle. Third, Smartsheet keeps our marketing calendars clear and coordinated, although this is something we need to learn more about to do a better job of it. We still have misalignment on campaign dates, content deadlines, and launch windows, but with Smartsheet, we know that this tool is built to help us. The fact that everything lives in a shared, real-time view that’s easy to update and track is the largest benefit. Finally, the product is solving our project collaboration needs. Smartsheet is a space where my designers, copywriters, leadership, and project leads can all comment, tag each other, and share files directly in the sheets, which has helped reduce back-and-forth and speed up project turnaround. Overall, Smartsheet gives us a more organized, transparent, and scalable way to manage complex work across teams.
Great for PM but missing some key features
What do you like best about the product?
I've been using SS for a few years now, and overall I do like it. It's super intuitive if you're familiar with Excel but offers much more flexibility when it comes to collaboration, task tracking, and building out workflows. The ability to assign task, set deadlines, and link dependencies makes PM'ing a lot more organized. I also appreciate the various views like grid, gantt, card, calendar, etc - depending on how you like to visualize your work.
What do you dislike about the product?
One frustrating limitations is the inability to hide rows the way you can in Excel or Google Sheets. It might sound small, but when you're managing a larger/more complex sheet, that functionality would really help keep things cleaner and more focused vs building out a workaround. I've also noticed some quirks when trying to do more advanced conditional formatting or formulas - definitely not as robust as Excel in that sense.
What problems is the product solving and how is that benefiting you?
SS is solving a few problems for me mainly around project visibility, task ownership, and team collaboration. With everything living in one place: deadlines, assignments, dependencies, notes, its so much easier to see where things stand and who's responsible for what. It's also helped reduce back and forth comms between team members as they can update their own rows, attach files, and leave comments. This saves a lot of time and confusion. The ability to create dashboards and automated reminders has been a bonus as well. It's been keeping stakeholders informed without needing constant manual check-ins.
