Smartsheet - A smart tool for project tracking and team collaboration
What do you like best about the product?
I love how intuitive and flexible Smartsheet is. It feels like a powerful blend of a spreadsheet and a project management tool, which makes it easy for everyone on the team to adapt without a steep learning curve. The ability to automate workflows and set up alerts helps us stay on top of deadlines.
What do you dislike about the product?
While it's feature-rich, some advanced functionality requires a bit of digging or external learning, especially when setting up complex automations or integrations. I’ve also noticed that performance can lag slightly with very large sheets or complex formulas. Additionally, better built-in reporting visuals would be a great improvement.
What problems is the product solving and how is that benefiting you?
Smartsheet helps us centralize project tracking, manage timelines, and assign responsibilities more effectively across teams. Before, we struggled with version control, scattered updates, and manual follow-ups. Now, everything is visible in one place — from task progress to file attachments and comments. It has improved accountability, reduced delays, and given us better visibility into workloads and priorities.
A Game-Changer for Project Management and Collaboration
What do you like best about the product?
What I appreciate a lot about Smartsheet is how flexible it is. It feels like working in a spreadsheet which makes it easy to get used to but it is way more powerful than that. I've used it frequently to manage everything from project timelines to team task tracking (e.g. engineering verification and validation work) and it handles it well. The automation features are also a huge time saver, being able to set up alerts and reminders without needing to code anything is a big plus. I also enjoy being able to collaborative in real time with colleagues (not possible with MS Project Desktop), especially when we're juggling multiple projects across departments.
I have not had to reach out to their customer services but not felt the need to either. I am sure they would have helped resolve my issues though as the UI and website seem very well designed.

What do you dislike about the product?
If I had to point out a few downsides, i'd say the mobile app could use some improvements. It works, but it's not as smooth or intuitive as the web version, especially when you're trying to make quick edits or view complex sheets. Also, once you start building out more advanced workflows or dashboards, there's a bit of a learning curve. It's not a dealbreaker though and it just takes time to unlock the full potential of the platform.
What problems is the product solving and how is that benefiting you?
Currently we're using Smartsheet to build test plans and break down complex projects into clear, actionable tasks. It's helped us stay organized and keep everyone on the same page without relying on scattered spreadsheets or endless email threads. The visibility and structure it provides have made it easier to track progress, meet deadlines and reduce miscommunication across the team.
Smartsheet Review & Suggested Enhancements
What do you like best about the product?
I’ve been using Smartsheet extensively across all my projects at work, and it’s truly transformed how we manage processes. Where we once relied on manually updating documents in Teams — a task that made up 80% of our daily workload — we’ve now automated 70–80% of our data collection and reporting. With minimal manual input and proper form mapping, Smartsheet has allowed us to streamline workflows, improve visibility, and enhance team collaboration. It's been revolutionary for our department.
I want to emphasize that Smartsheet has been a game-changer. The platform has enabled a level of automation and structure that we previously thought was only achievable through custom-built tools. It's flexible, intuitive, and powerful — and with a few more enhancements, it could be even more indispensable for enterprise-level use.
Thank you for building such a fantastic platform and continuing to listen to your user community.

What do you dislike about the product?
1. Highlighting the Row Number (Like Excel)
In Excel, when working with large datasets, selecting a value in any cell automatically highlights the row number. This makes it easy to track or reference values across adjacent columns. In Smartsheet, however, the row number (or the first column if used to simulate a row number) is not visually highlighted when a cell is selected.
Suggestion: Enable automatic highlighting of the row number or leftmost column when a cell in the row is selected. This would greatly improve navigation and referencing within large sheets.
2. Sending Reminders to Multiple People on a Row
Currently, reminders can only be sent to a specific contact associated with a row. This becomes limiting in cases where:
-A task is owned by a team rather than an individual.
-I’m unavailable and need to delegate action to others.
Suggestion: Allow reminders to be sent to multiple collaborators for the same row. This would ensure continuity and accountability when primary owners are unavailable.
3. Manual Entry of Combined Date & Time Fields
For my current internal transport validation project, accurate tracking of both date and time is critical. At the moment, Smartsheet only auto-generates combined date-time values when a column is set to “Created” or “Modified.”
Limitation: There’s no way to manually enter both date and time into a single cell with the same formatting used for system-generated values.
Suggestion: Enable a manual Date/Time column type where users can enter both fields in one cell, using the same format as system fields. This would significantly help with time-sensitive tracking and audits.
4. Calculating Time Differences with Precision
Currently, Smartsheet allows for calculating the difference between dates but lacks more granular time-based calculations.
Suggestion: Add functionality to calculate differences between two Date/Time columns that outputs:
-Days
-Hours
-Minutes
This would greatly improve our ability to measure task duration or transit time down to the minute, which is especially useful for validation or SLA tracking.
