I enjoy the fact that different teams and individuals can collaborate seamlessly on shared projects while maintaining visibility and accountability. It’s intuitive, highly customisable, and bridges the gap between spreadsheets and project management tools.
What do you dislike about the product?
While Smartsheet offers a lot of flexibility, some of the more advanced features - like automation workflows and reporting - can be difficult to master without dedicated training. The pricing model can also be limiting for smaller teams or those with fluctuating user needs.
What problems is the product solving and how is that benefiting you?
Smartsheet is helping us overcome fragmented communication and siloed project tracking. It centralises workflows across teams, improves transparency, and makes it easier to manage complex timelines and ownership. The ability to automate repetitive tasks and generate live dashboards has saved us time and reduced manual reporting errors.

What do you like best about the product?
What I love most about Smartsheet is how easy it is to get started — even as a first-time user, I was able to explore and quickly understand how to use it without needing much guidance. It's incredibly powerful and flexible; I’ve been able to manage resources, implement internal workflows, and achieve almost everything I need with it.
One of the best aspects is its integration capabilities — I can easily pull Smartsheet data into Power BI and combine it with data from other systems to create rich, visual dashboards. This has significantly improved how we analyze and report on business processes.
The user support is also top-notch. There's a wealth of knowledge available in online forums, and Smartsheet's support team is proactive — they reach out regularly to check in and offer help, which enhances the overall user experience.
What do you dislike about the product?
If I had to mention one area for improvement, it would be the UI design. While functional, it could be more visually polished compared to some competitors.

What problems is the product solving and how is that benefiting you?
We initially used Excel, hosted on SharePoint, to manage our marketing activities. However, we encountered many issues with collaboration across multiple users. That led us to search for a more suitable cloud-based alternative — and Smartsheet has been a great solution.
It has significantly improved our team’s ability to collaborate in real time, automate workflows, generate reports, and integrate data from multiple systems. Over time, we expanded our use of Smartsheet beyond marketing and found that it’s extremely versatile.
Now we also use it for managing business travel, presales lead qualification, and various internal processes. Smartsheet has become an essential tool that helps us get work done more efficiently and effectively across teams.
Smartsheet has potential, but it’s not the easiest to use
What do you like best about the product?
Smartsheet is a flexible platform, especially in how you can customize columns and use them for various purposes depending on the needs of the project. I really appreciate the online forms functionality—it works well and the barcode scanner option is particularly useful for our operations.
I also like that Smartsheet allows for the creation of custom dashboards, which can be a great way to centralize information and share updates with stakeholders. The ability to control access and permissions at different levels is another strength, particularly for managing complex projects. Collaboration features like row-level comments and alerts help keep communication clear and organized.
While Smartsheet may not be my ideal fit for all project types, I do see its value—especially for teams who need highly customized, spreadsheet-style workflows with data collection and reporting features.
What do you dislike about the product?
While Smartsheet offers a lot of powerful features, I find that it's not as intuitive or user-friendly as some other platforms I've used. For example, compared to Asana, which is very easy to navigate without training, Smartsheet often requires more onboarding and regular consultations to use effectively.
One area I miss is a centralized view of all tasks assigned to me across different projects and workspaces, which is something I found very helpful in Asana. Features like multiple project views (Kanban, Gantt, timeline, workflow) are already built into the project structure in Asana, whereas in Smartsheet, they often need to be created and configured separately. Similarly, while Smartsheet does offer automation, I find it a bit more complex and less intuitive to set up than in other tools.
As a Project Coordinator, I really appreciated the overview tabs and dashboards in other platforms that are tailored to day-to-day coordination and planning. While we’ve managed to replicate some of this in Smartsheet by building custom reports and task lists, it does require considerable setup time for each project. I realize every tool has its strengths, but for my particular workflow, Smartsheet doesn't always meet my needs out of the box.
What problems is the product solving and how is that benefiting you?
I mostly use Smartsheet to create and manage project plans. It helps me keep track of deadlines and monitor progress to make sure everything stays on schedule. It’s also useful for making sure all team members involved in a project are meeting their timelines and staying aligned with the overall plan.

What do you like best about the product?
If you are familiar with the spreadsheets, you should be able to pick up the tools. Good reporting tools, allows automation of workflows. It is cloud based so it was easy to get started. Collaboration tools seem sufficient.
What do you dislike about the product?
Seems to have a bit of a learning curve if you don't use spreadsheets. Customer Service could be better.

Organization and Attention to details
What do you like best about the product?
As an individual I access Smartsheet on a daily basis. The ease of integrating documentation into a flowsheet of productivity helps us to organize our teams monthly goals and progression of workflows as a group and at an individual level.
What do you dislike about the product?
I believe I am using a bare minimum of tools that Smartsheet has to offer. I love if there were video tutorials of other ways to use Smartsheet that I could reference

Smartsheet is solving our problems for task follow up and data referencing.

Customizable interface and Gantt chart flexibility streamline project management
What is our primary use case?
My use cases for Smartsheet always revolve around small to medium-sized projects to define a standard project and assignment, work breakdown structure, and develop a timeline from start to finish.
I've always wanted to use the resourcing feature, but it has been super complicated and never sufficient. The overhead for capacity management has never fully realized enough value.
The dashboards are rather complex and not intuitive, requiring a full custom implementation in order to manage multiple programs. We're going to try and set that up now for this one national project, but from a pure project management perspective, Smartsheet works great as a low-cost replacement for Microsoft Project. I feel it equals and parallels the capabilities of Microsoft Project.
What is most valuable?
What I appreciate best about Smartsheet is the straight Gantt chart and its flexibility. The user interface is very customizable, allowing for easy segmentation of workstreams and leveling tasks.
Because of this customization, you can tailor your views for rapid project reporting as well. It's really about the user interface and basic project management, making it very fast.
What needs improvement?
The initial setup from a project perspective is very easy, simple, and fast.
However, from a reporting and dashboard perspective, it definitely requires more customization, but the end result of the dashboards is very flexible and customizable. There is value in developing those dashboards.
Out of the box, it provides a five-level setup, but after a full customization, you can reach a level eight of satisfaction. It does require an investment.

I've been using Smartsheet for over 15 years.
What do I think about the stability of the solution?
I have never had any issues with stability; it has always been good.
What do I think about the scalability of the solution?
My impressions on scalability are that it is very good. Definitely, building out a project plan and multi-level integrated projects, such as a program with integrations and references, is very mature and capable.
How are customer service and support?
I think their support team is low quality. They're low and lack response, which is not good for customers. I wouldn't rely on their customer support at all.
I would give the support team a three out of ten.

Using Smartsheet is very easy. The initial setup from a project perspective is very easy, simple, and fast.
Which other solutions did I evaluate?
I do recommend it to other people. I highly recommend Smartsheet for all projects based on budget. For me, it is second to Planisware.

Overall, I would give Smartsheet an eight out of ten. It's my go-to at the moment. This review rates Smartsheet 8 out of 10.

While Smartsheet excels in user friendliness and survey logic, its performance with large datasets is a notable drawback. The platform imposes strict limits of rows, columns, and cells per sheet, which can be restrictive for users managing extensive data, such as in large-scale surveys or complex project trackers. Exceeding or nearing these limits often results in splitting data across multiple sheets, complicating workflows.
