Great Project Views, But Licensing and Missing Features Add Frustration
What do you like best about the product?
Being able to switch from a project list or grid view to a Gantt chart is useful. Attaching files to project items in grid view is fairly straightforward including drag-and-drop from outlook. Fairly straightforward to get started and users of excel will find it pretty familiar though with some limitations to functions. Templates are nice but I've not found many that I could use without quite a lot of reworking, it's usually quicker to create my own, however other users may prefer to pick up templates.
What do you dislike about the product?
Licencing has seemed to be challenging and costly - with recent changes meaning anyone editing even a line in a grid needs a full licence. which makes Smartsheet cost prohibitive for many collaborative projects. Seemingly small functionality missing such as drag-down auto numbering actually ends up taking too much admin time especially with larger projects. No auto-save is a surprise, and has resulted in lost work more than once. Alerts about changes arrive overnight (UK timezone), rather than real-time or batched through the day, and it's unclear if this can be changed.
What problems is the product solving and how is that benefiting you?
We have been using it for projects but the licencing changes means that it's actually creating more problems for us now than it is solving, unfortunately.

What do you like best about the product?
The collaboration within the team has improved significantly. I also find the filters to be very useful. We moved our trackers from Excel to Smartsheet, and it works much better now, even in terms of how it feels to use. I have to say, the forms have made things a lot easier for us. I really like the tick boxes - something soo simple, but makes a bit difference. I like the little details like the dates function - It's just a lot more modern than our excel sheet.
What do you dislike about the product?
Some Excel keyboard shortcuts don’t always work — for example, Ctrl+D (which should fill down like in Excel) often doesn’t do anything.
It can feel a bit sluggish when working with larger sheets.
There’s no offline mode, which can sometimes be inconvenient if the internet connection drops.
Finally, when you are working as a team, the updates aren't always immediate, and sometimes have reload the whole tab.

What problems is the product solving and how is that benefiting you?
Before Smartsheet, we used to have loads of Excel tabs to manage everything. Now it’s all in one place with set filters, which makes tracking much easier. The reminders are really handy too, as they link straight to our email addresses so nothing gets missed. Overall, it’s helped centralise things and improve visibility.

What do you like best about the product?
What we’ve come to appreciate most about Smartsheet is how flexible it is. Unlike traditional project management software that locks you into one rigid format, Smartsheet gives you the freedom to design your own workflows — whether that’s through grids, Gantt charts, calendars, or dashboards. For ISDM, this flexibility means that each team can adapt Smartsheet to its own needs while still maintaining a shared language of progress and accountability. For instance, our academic team uses it to plan program calendars and track course deliveries, while our communications team uses it to manage campaigns, content pipelines, and deadlines.
What do you dislike about the product?
it can sometimes feel complex for new users. The learning curve can be steep for team members who aren’t used to project management systems or formula-driven sheets. We’ve found that onboarding and consistent training are key to getting everyone comfortable. Similarly, as our use of Smartsheet has expanded, licensing costs have become something to watch — the platform is worth the investment, but it’s not cheap if you want advanced features for every team member.
What problems is the product solving and how is that benefiting you?
Smartsheet helps ISDM solve the problem of managing multiple projects and teams in a coordinated, transparent, and efficient way. It replaces scattered spreadsheets and endless email threads with a single platform where everyone can track progress, assign tasks, monitor timelines, and stay aligned — ensuring clarity, accountability, and smoother collaboration across departments.
                        
                            Convenient and Easy Set-Up, but UI Could Improve
What do you like best about the product?
I find Smartsheet incredibly convenient. Setting it up was very easy, which made the transition smooth from the start. In the month I have been using it, Smartsheet has been instrumental in allowing my partners and me to upload files, share them easily, and streamline our workflow. It has significantly enhanced our operational efficiency by enabling effortless aggregation and sharing of work with other partners. This streamlined sharing capability not only facilitates collaboration but also aids in efficient work management. I would definitely buy Smartsheet again and recommend it to other partners due to its ability to simplify complex project handling and improve our work efficiency. Overall, my satisfaction with Smartsheet is reflected in my perfect recommendation score of 10 out of 10.
What do you dislike about the product?
I don't like the colors and the way the buttons are placed in the interface of Smartsheet. It's very annoying to me. Additionally, I found difficulty in combining different files from various sources, which has been a bit challenging.

                            Smartsheet Streamlines Task Management with Helpful Intake Forms
What do you like best about the product?
Smartsheet has been very useful for organizing my tasks, especially with the intake form, which makes the process much smoother. The steps it provides are genuinely helpful for tracking the progress and current stage of my team's tickets.
What do you dislike about the product?
There isn't much to comment on overall, but I did notice one thing: I have to click 'save' every time I make changes to the sheet. An auto-save feature would have been much more convenient.
What problems is the product solving and how is that benefiting you?
Previously, our organization struggled with unstructured workflows. After implementing Smartsheet, we began using a ticketing approach through Intake forms. Now, when someone submits a request, a team member receives a notification based on the information provided, allowing us to take prompt action. This system has also made it much easier to track the progress of any assigned tasks. As a result, all stakeholders now have better visibility into the status of tasks that have been assigned or requested, which has been highly beneficial.

The ability for multiple users and teams to collaborate on a single document is very useful and simple.

Sometimes, it's easy to forget to add new users and grant them editing permissions, since this option isn't enabled by default.

We use it to create production plans and manage workflows, as well as for several smaller tasks. Overall, it is the easiest tool we have found to use so far.

I appreciate its ease of use (once well trained). The platform offers a logical format, combining spreadsheet, workflow management, and automation. It is a tool that promotes collaboration while allowing integration with other systems. Regarding customer support, nothing to report.

I encountered some difficulties in mastering the Smartsheet interface, but this problem has been resolved, even though it required a significant amount of training time. I also find that there are too many notifications.

It feels like a spreadsheet, so it’s easy for new users to adopt. But under the hood, it’s actually a full project and work management tool — capable of tracking tasks, budgets, dependencies, and more.

As projects grow, sheets with too many automations, links, or cross-sheet formulas can become hard to manage or troubleshoot.

What do you like best about the product?
I have been using Smartsheet for three years and it has become a great standard tool within my company. I really appreciate its ease of use; despite the initial complexity when setting up, it only took me two hours to get comfortable with it. Smartsheet's versatility in creating different types of sheets and combining them is incredibly useful for organizing templates, lists, and reviewing the status of processes in my organization. I particularly value how secure Smartsheet is when sharing documents or sheets with others, which gives me peace of mind when collaborating. Overall, I like Smartsheet so much that I wouldn't change anything about it and would rate my likelihood to recommend it as a nine out of ten.
What do you dislike about the product?
Smartsheet was initially a bit complicated to set up, typical of most new tools. However, it became manageable after two hours of learning.
What problems is the product solving and how is that benefiting you?
