Airtable made project tracking visual and connecting all our data a true breeze
What do you like best about the product?
I especially like the insanity of flexibility of Airtable in terms of dealing with various types of information. Its various viewing option is a game changer since I can view data the way I so need it, be it a kanban board of tasks or a calendar of the deadlines. The functionality of relating records on other tables is also excellent in relating the related projects and client information. This gives an impression of working with a complex data set that is quite natural and organized. I can find example that I can tie a certain marketing campaign to all of its corresponding creative assets and even to its budget with ease. It actually turns stinky spreadsheets into created order visual databases.
What do you dislike about the product?
The pricing plan may also be somewhat costly especially when it comes to bigger teams which require high-level functions. Some very important features will have a lock that feels like jumping. At the same time as being powerful the more advanced the automation capabilities are they may require a learning aspect in the beginning. Coming up with the capability of creating genuinely custom workflows requires some time and effort.
What problems is the product solving and how is that benefiting you?
Prior to Airtable, the information on our team projects was spread in different spreadsheets and various tools. Monitoring of activities and getting to know the project status was a sloppy nightmare that needed continuous adjustments manually. Today, thanks to Airtable, everything is in one common place. There is a single source of truth of all projects assets and clients interactions. This would reduce time spent in information search and enable one spend more time working. Our working processes have been so streamlined and we can easily tell where everything lies which is a big plus in productivity.
Data Accuracy & Design Alignment
What do you like best about the product?
User-Friendly Interface:
The table views, filters, and linked records are intuitive and easy to navigate for both technical and non-technical users.
Field Relationships Are Well-Structured:
Key fields are logically linked and enable efficient tracking across service and PM reports.
Quick Iteration & Visibility:
Changes are immediately reflected, making it easier to spot data issues and align with design expectations in real-time.
What do you dislike about the product?
Role-based permissions are somewhat limited in the free and lower-tier plans, which makes granular access control difficult in collaborative environments.
What problems is the product solving and how is that benefiting you?
Airtable solves the problem of rigid, hard-to-maintain spreadsheets and the complexity of traditional databases by offering a no-code platform that’s both powerful and easy to use.
It allows teams to build custom workflows, track structured data, and collaborate in real time without needing engineering support. The ability to link records, filter views, and automate tasks simplifies project tracking, reporting, and coordination across departments.
Airtable connected all my scattered data perfectly, like magic
What do you like best about the product?
I am intensely in love with how Airtable manages to merge the characteristics of a spreadsheet with the strengths of a database. What it actually means is that I can prepare a complicated table such as a project pipeline or a content calendar with an unbelievable ease. It is extremely convenient that different views such as a Kanban board or gallery view can be switched. This actually allows our team to visualize data in the best manner we can in every task.
What do you dislike about the product?
The only thing I do not particularly like is that Airtable can turn too expensive very soon as your team scale up or as you require more capabilities. At the start, it is a bit steep of a learning curve to establish complex automations or entrenched bases.
What problems is the product solving and how is that benefiting you?
Prior to Airtable, our crew was literally lost in disorganized spreadsheets and email threads to follow projects. Much valuable information resided in different locations so that one could not have a clear picture of the level of progress achieved. These days everything about our projects is in Airtable in one place and easily accessible. This implies that there is only one truth when it comes to each task and deadline. We are saving hours of each week that were spent on manual updates and tracking information. Our teamwork has also been greatly enhanced since each of us knows the current status of a project at all times.
Automations and integrations enable efficient data management
What is our primary use case?
I use Airtable as a database to store information and perform automation with scripting.
I use Airtable to get leads from my Pipedrive account to store in the Airtable base. I use it to track speed to leads of my sales personnel. For example, when a client calls, I use it to know exactly the time they take to answer that call. I also use it to document processes. We have a calibration company, so we save our information, such as the tools we use, the last calibration date, expiring dates, and so on. We use automation to remind us when particular equipment will expire for recalibration. Those are some of the things we do with Airtable. We can send reminders to different departments that are responsible for that.
I have integrated it with Google Workspace. If our equipment is due for calibration, it is integrated with Gmail, so we can send the due dates to the team responsible for recalibrating the equipment. It can also send notifications through Slack to different departments that are responsible. I have done that integration before.
We use Pipedrive for our CRM, and instead of typing different customer names inside Airtable, we now use webhooks to connect it to Pipedrive. Pipedrive sends the information to Airtable and it automatically populates in the Airtable database. Instead of manually calculating the speed to lead for each sales agent, it does it automatically, which reduces error and improves efficiency.
What is most valuable?
What I appreciate about Airtable is its ease of use and automatic saving feature. When using Microsoft Excel, you might forget to save your documents, but with Airtable, it saves automatically. You can also perform complex tasks that might not be possible with other platforms such as Excel. You can add PDF documents, perform basic automations, and even do scripting with Airtable.
Airtable has really benefited us in document storage. You don't need to search for different documents everywhere. Everybody has a particular base for different purposes, so you add information to those bases and anybody can access it at any point in time anywhere in the world.
It has helped us by eliminating the need to carry our systems around. You can log in from anywhere in the world, access your account, and work with it anywhere.
What needs improvement?
I would love them to improve by adding tutorials, especially for scripting, and provide good documentation. We need comprehensive documentation for Airtable. If they show step-by-step guides for automations, this will help them attract more clients who are willing to learn and use their system.
The cost structure of Airtable presents a challenge. When you invite a user, you have to pay for that user. This becomes problematic because if I invite somebody and that person needs to invite another colleague who isn't nearby, it incurs extra costs. If they can implement a fixed cost structure, it would be better. They're overcharging for invitations. If they can reduce that, it would be really helpful, as I shouldn't need to share my password. It would be beneficial if users could invite others when needed.
For how long have I used the solution?
I have been using Airtable for roughly five months.
What was my experience with deployment of the solution?
There was no challenge at all with deployment. You just need to authorize Airtable to access the necessary components it's supposed to access. There are many tutorials available that can help with setting up those authorizations.
What do I think about the stability of the solution?
Airtable runs smoothly. I haven't encountered any issues regarding its stability.
How are customer service and support?
I haven't discussed any challenges with their customer service team.
How would you rate customer service and support?
Which solution did I use previously and why did I switch?
I haven't used previous solutions, but I use Rippl Cloud and pay approximately $3 monthly for their server hosting.
What was our ROI?
We have seen a return on investment, especially with the automation capabilities. I don't need to employ someone for manual data entry. I can automate the process so it automatically populates data into the Airtable base and performs any necessary calculations, instead of employing someone to do that manually.
What other advice do I have?
I chose Airtable because you can build an interface with it and automate processes with many features. Unlike Excel, which I've used previously, you can't perform most of these functions. With Airtable, there's much to achieve, including creating user interfaces and forms. This is particularly useful for job postings or advertisements, as people can fill out forms and their responses automatically populate your database.
Airtable is hosted in their own cloud. It's different from n8n, which you can host yourself or with another cloud service provider. Airtable can only be hosted with their service.
For automation, I use n8n and Zapier, but I primarily use n8n because it's more cost-effective than Zapier. This is my first experience with such a platform, having started five or six months ago.
On a scale of 1-10, I rate Airtable a 9.
