Excellent Software for everyday maintenance
What do you like best about the product?
The most helpful for me with Maintain X is the ability to prioritize my maintenance needs and know what supplies I have on hand at all times. When maintenance is needed at one location or multiple knowing where you need to be and ensuring you have all the supplies available makes the job easier and quicker. The ability to create procedures help ensure that those working within the system are able to know the proper procedure without having to stop and ask questions. They can get the work done and move on to other jobs. This helps greatly with keeping the business running smoothly for everyone involved.
We recently have added new users this year and getting them integrated into the system was an extremely smooth process. The help customer support and our account manager provided was invaluable during this time. New users found that using the additional support provided by the MaintainX Academy helped greatly in getting them familiar with the system. All users enjoy having the app on their phone to easily look at work orders and access needed information for the work order they are working on. We are currently looking at integrating with Microsoft Teams.

What do you dislike about the product?
I have very little downsides with Maintain X. If I had to name any I would say the inability for requesters to be able to see any comments and be notified with that they have been posted. This is sometimes crucial in certain circumstances in a business. A lot of times I have to let the requester know via email that their request has been completed. Another thing I would like to see is a better way to input additional expenses into a work order. There are times when parts are necessarily not the only the only item used in the repair. There are times that a vendor is needed to complete the repair. It gets challenging to divide these costs out from an invoice. Not sure what the solution is but it would help if there could be one created.
What problems is the product solving and how is that benefiting you?
MaintainX helps us solve a variety of problems. As a retailer as well as having a restaurant, production facility and multiple housing locations there is a lot of ground to cover on a daily basis for maintenance needs. MaintainX allows us to know what assets are at each location and keep track of our PM needs for those assets. The system also allows for employees at the locations to easily put in a ticket to get any of the needs completed. The ability to see the reports during quarterly meetings helps ensure that we are sticking to the budget and allows us to see what systems and locations are needed more maintenance comparted to the others. Since the implementation of the system I personally have seen a dramatic decrease in the amount of messages and emails I receive regarding any issues with the buildings or equipment. Being able to have the users look at the work order list every day helps them organize their time and ensure that we can get as much repairs completed in a day as possible.
Implementation process, had alot of questions and they were answered thouraly and followed up on.
What do you like best about the product?
The ease of working with it and having multiple levels of teams. The support is top tier and very useful even after our implementation.
What do you dislike about the product?
Having list type of forms always, would be nice to have a sheet style for digital or print.
What problems is the product solving and how is that benefiting you?
Having all our maintenance files digitally and in one place. Ease of reference to past history without digging through boxes of hard copy files.

What do you like best about the product?
Has good workflow and is user friendly. Excellent customer support.

Duplicate WO's in certain cases. User issues.

Ability and access for our team members in various regions.

What do you like best about the product?
re-occuring work orders that save time and that you can set up with procedures that look amazing and easy to follow. With every assets I can attach parts for easy ordering. for parts I can upload pictures, cost, inventory, and even set up and ordering system. Honestly the best part is setting up your assets not only with parts, but manuals, schematics, and other machine related information so your mechanics have access to everything. no looking through manual, files on computer.. boom right there on your phone, tablet, computer right at the machine.. and if there is a part that needs to be orderd,, boom just make a work order on the same page with the part it needs.. change the status of the equipment offline.. online.. etc..
What do you dislike about the product?
have to approve all requests by an admin.. someone who is not an admin cant approve or even view the work order.. slows the process down. especially if your crazy busy.
What problems is the product solving and how is that benefiting you?
at this point we are not facing any issues, they have a great team that answers quick. They have helped us with inventory issues.
Organizing our Maintenance with Maintain X
What do you like best about the product?
AI Integration - Being able to create procedures on the fly that seamlessly get added to our procedure library makes this an easy choice! Implementation was a breeze and well supported by their staff.
What do you dislike about the product?
Perhaps would like more controls at the Premium level without needing to go to the Enterprise level.

Big Upgrade from Our Old Software
What do you like best about the product?
The interface is much easier than the CMMS we migrated from. Everything is located where you'd expect and the navigation is quick, responsive, and painless. I also enjoyed just how easy it was to import all of our data.
What do you dislike about the product?
No qualms as of yet. This software does everything my team needs it to do.
What problems is the product solving and how is that benefiting you?
Because of MaintainX, our facility will finally be able to go paper-free for work orders and PMs. Additionally, through MaintainX we are rapidly improving asset management and parts organization. We are also implementing meters, so we'll be able to pull more insights from our PMs as well as be confident that our assets are receiving maintenance at more reliable intervals.

What do you dislike about the product?
While MaintainX has been a valuable tool overall, one area for improvement is the initial setup and device integration. For example, we experienced delays due to hardware dependencies—specifically, waiting on iPads to fully deploy the system. Additionally, some customization options for workflows and reporting could be more flexible to better fit our specific operational needs. That said, the support team has been responsive, and we’re optimistic about future updates addressing these gaps.

What do you like best about the product?
Maintain X is the most user friendly CMMS I have encountered in my career. I have used many others that have not been so easily utilized to provide clear and concise scheduling, KPIs and machine history.

What do you dislike about the product?
The only part of maintain X I didn't enjoy was setting up all of our machines and procedures, but that isn't something that can be avoided. one good addition to there system has been the AI features as well as there team who are willing to add procedures for you at an incredibly affordable cost.
What problems is the product solving and how is that benefiting you?
previously we kept track of machine repairs using excel. the sheet we were using would break constantly and gave no way to quickly search through machine history. it was also a literal nightmare getting prepared for gemba meetings using that old sheet.
now i just put a tv on the wall and pull up the reporting feature and give everyone our live KPI data. its so fresh it often changes while we are in the meeting. i love watching completed work orders pop up while we are watching the screen. it shows how hard my team is working to all the right people.

Maintain X has helped me become more efficient at my job.
What do you like best about the product?
Using reoccurring work order help streamline and track maintenance PMs. Purchase orders and easy to generate and can help track inventory levels. Very user friendly. Everyone has been extremely helpful with any and all questions or problems
What do you dislike about the product?
The biggest complain is the cost of the next size plan if you want more employees to use the software

Tracking PO all in one place though one system. Streamlining work orders in a central place. tracking maintenance across multiple systems
All in one program with great user interface
What do you like best about the product?
It's hard to name one best thing. The user interface is easy to navigate for anyone with social media experience. Asset tracking is an excellent tool to keep up with equipment and items. The internal messaging feature is hands down one of the most useful things for teams. All in all, excellent software that fills the gaps.

It helps manage work order flow, track what assets we have with less boots on the ground, and solid internal communication between staff about workflow.
