Great Core Features, But Add-Ons Can Get Pricey

What do you like best about the product?
Confluence is a great wiki-style site and has good flexibility. It's easy to learn and format nicely and has good content features such as image and video, attachments, blogs, and so on. The swish integration with Jira is a powerful point, allowing dynamic links, reports, and charts to be created based on your connected Jira issues, allowing these to be condensed to a wider audience. It serves us well as the company's intranet.
What do you dislike about the product?
Add-ons are quite often required to extend the base functionality (which can be limited in some respects), and can be very expensive - especially when you combine (a) minimum user tierings and (b) the fact that add-ons must be purchased at the same tier as Confluence, and cannot be restricted to a smaller userbase. For the Data Centre version, constant vulnerability patches are required which can take a lot of time with testing and deployment.
What problems is the product solving and how is that benefiting you?
Alignment of disparate processes that never had a unified home. Now teams across the business - including front, middle, and back office - have an ideal place to store, edit, and share project statuses, meeting minutes, process guides and diagrams, and any other required documentation.

Effortless Collaboration, But Needs Better Content Management as Teams Grow

What do you like best about the product?
I really appreciate how Confluence brings all of our team’s documentation together in a single location. Organizing information, linking between pages, and ensuring everyone stays on the same page is straightforward, eliminating the need for constant email chains or Slack messages. The real-time editing and commenting tools also make working together feel effortless.
What do you dislike about the product?
The main challenge is that the workspace can feel a bit messy as it grows. It’s easy to come across outdated or duplicate pages, which sometimes makes it hard to find the most accurate information. It would be great if Confluence offered smarter tools to keep content organized and up to date automatically.
What problems is the product solving and how is that benefiting you?
Confluence solves the problem of scattered information. It’s become our single source of truth for processes, project documentation, and cross-team communication. Having everything documented and searchable saves time and helps maintain consistency across departments.

Centralized Knowledge Hub with Seamless Atlassian Integration

What do you like best about the product?
What I appreciate most about Confluence is its ability to centralize knowledge throughout the organization. It offers a unified, organized space where teams can document their processes, share updates, and work together in real time. As an admin, I find its seamless integration with other Atlassian tools like Jira particularly valuable.
What do you dislike about the product?
Handling permissions on a large scale can get complicated, particularly within big organizations that have numerous spaces and user groups. Over time, it’s common for access settings to become inconsistent.
What problems is the product solving and how is that benefiting you?
Now, each department benefits from a dedicated, organized space for their content: IT oversees technical documentation, HR maintains policies and onboarding resources, and project teams work together on requirements and retrospectives in real time. This structure has significantly minimized duplication, enhanced transparency, and made it much easier to locate information.

As an admin, I find the integration with Jira and other Atlassian tools especially valuable—being able to link documentation directly to issues, epics, and releases means important context is always preserved. Confluence helps keep everyone on the same page, cuts down on unnecessary meetings, and reinforces our overall approach to information governance.

Great Organization and Formatting, But Performance Can Lag

What do you like best about the product?
There are just enough text formatting options to keep things organized and easy to read, without being overwhelming. The ability to structure pages by sites and folders helps with organization as well. The live collaboration also works quite well.
What do you dislike about the product?
Performance can be a bit slow at times, pages taking a bit of time to load. The database functionality is a powerful way of capturing information, however it's still a bit rough around the edges when it comes to usability.
What problems is the product solving and how is that benefiting you?
It keeps our information in one place that is easy to query. It allows us to share information across teams and throughout the entire company in a unified way. It's a wiki, so not really revolutionary, however it's very easy to use and does a great job at keeping our company information in one place for knowledge sharing. Storing information across multiple documents on a shared drive does not help with productivity as it takes a lot of time to find what you actually need to work, or requires you to ask colleagues for help in finding documentation. Confluence solves these issues in a rather simple and effective way.

Excellent Documentation Tool with Seamless Sharing and Jira Integration

What do you like best about the product?
This is one of the best documentation tools I have used. Sharing documents is very straightforward, and searching for content is also simple and efficient. Its integration with Jira makes the combination extremely effective for our needs. The guest license feature is particularly useful, as it enables me to add external users and share only the spaces that are relevant to them. I also find the new Rovo feature to be excellent.
What do you dislike about the product?
The calendar really ought to be included as a standard feature, but unfortunately, it's only offered in the more expensive packages. Additionally, it would be much better if there were an option to assign third-party apps to particular groups rather than making them available to every user.
What problems is the product solving and how is that benefiting you?
We use Confluence to store all the technical documentation for our applications. It has also proven helpful for recording user acceptance test cases, since cloning pages and running tests multiple times is straightforward. Additionally, we keep records of application managers and their substitutes, making it easier for everyone to know the right contact person, especially given the large number of applications we manage.

What I find challenging about Confluence is how easily content can become outdated or disorganized over time. It’s such a powerful tool, but it really depends on teams maintaining good structure and habits.

Powerful Integration with JIRA and Excellent UX

What do you like best about the product?
I love how easily Confluence integrates with JIRA, ensuring continuity and fluidity of ideas within the same ecosystem. Template management is vital for our workflow, allowing us to create processes and standards with reusable templates. The ability to share pages publicly is crucial, especially with clients, as we can adjust documents and they see the changes immediately. The export to PDF function is phenomenal, as we can apply CSS and share information with our company's branding. Additionally, I appreciate the excellent user experience that Confluence offers and its constant updates, which ensure that we are always using a modern and efficient platform.
What do you dislike about the product?
I would like the tables on Confluence pages to allow Excel-type formulas.
What problems is the product solving and how is that benefiting you?
Confluence improves organization and methodology, facilitating access to information. Integration with JIRA and the management of templates allow for efficient continuity and flow. Share pages publicly and export to PDF with corporate style to strengthen communication with clients.

Centralized Documentation Made Easy, But Whiteboard and Spreadsheet Support Lacking

What do you like best about the product?
I appreciate that all our team's documentation is now centralized in one place, making it much easier to search for information, especially for our Service Desk team. In the past, our documentation was scattered across multiple locations, which made it difficult for the team to remember where everything was, and it was even more challenging for new starters. By moving everything to Confluence, we've set the team up for success, and they really enjoy using it. I will also note that it was really easy to migrate everything across. It also has lots of great templates to use and we love the whiteboard features. The team use confluence all day every day for they jobs.
What do you dislike about the product?
The whiteboard feature is somewhat limited because it currently lacks support for tables, which makes things more difficult for us. Additionally, within Confluence, we've had to leave our spreadsheets behind in Teams since they don't really migrate over.
What problems is the product solving and how is that benefiting you?
Having all documentation centralized in one place is very convenient. The integrated whiteboards mean I no longer need to rely on third-party tools. I also appreciate that it integrates with Jira.
