What counts as one deidentified note for billing?
One note equals one clinical note processed through NoteGuard to remove protected health information (PHI). The tool automatically strips identifiers from clinical text before the note enters your data pipeline. Each note you run through the deidentification process draws down one unit from your entitlement.
What happens if I deidentify more notes than my entitlement allows?
The 1,000 Notes and 5,000 Notes options each grant a fixed allowance for the contract term. To process more notes than your allowance covers, you would need added entitlement. The per-note unit lets you track single notes beyond a fixed block. Contact the vendor to confirm overage handling.

To request a refund, email info@xtasis.com with you're your subscriber AWS account ID, usage reported date, job details, number of affected files and evidence of de-identification failure.
