What is our primary use case?
Box - Intelligent Content Management is our main use case for intelligent content management, and we primarily use it for content management. It enables us to manage our content, share, and store it using cloud storage and make it available for use in an efficient manner for both our employees and our external partners. Box - Intelligent Content Management is a platform that intelligently manages our content, and we have seen a big improvement in how we share and handle our content because it has made it safe and brought simplicity in the manner of storage and maintenance.
A specific example of Box - Intelligent Content Management usage in our day-to-day work is in document processing. As an IT practitioner, or in our various departments from finance, human resources, and production, we run reports that sometimes reach even 100 pages. Sifting through manually and trying to find the key metrics would take a matter of days and bring delays in report consumption. With Box - Intelligent Content Management platform, we are able to use its Box AI features, and we only need to prompt and request the key metrics or keywords or make searches, and we have the summary highlights and even a synopsis of the reports, allowing us to consume them much faster. This helps us in document processing and extracting crucial business information.
Another area where Box - Intelligent Content Management fits in our daily operations is executing the e-signature modules. Box - Intelligent Content Management moves beyond content management and helps us execute e-signatures. On top of that, it has brought us options of cloud storage. Since we do not need to store our files and content physically in safes and shelves, we are able to tap into cloud storage, which has enhanced document security. It has also made us compliant with the set industrial regulations. We are compliant with the data privacy laws because we have secured our customer and organizational content. This allows us to work efficiently and has brought a boost in the way we implement our workflow. Things are faster, and some tasks are no longer quite repetitive and are being handled with much ease.
Regarding specific outcomes, I can discuss the time saved in content management and sharing. Before we had a platform to help us, we relied on manual methods such as email attachments or even physical courier and physical mailing. This took time, and tasks that relied on document completion sometimes lagged behind and took even a week. With Box - Intelligent Content Management in place, we are able to exchange documents and content easily with clients, and such transactions are locked in faster. We are able to do that in a day or two, so time has been saved. There has also been a reduction in cost. Box - Intelligent Content Management offers a number of features. One is that it is an AI-powered platform that helps organizations adopt artificial intelligence in content management. It brings its feature Box AI that helps in document processing, extraction, and management of content. On top of that, it enhances the security of our documents, files, and content. When we had physical storage spaces or stored content or files in a physical manner, they were prone to distortion or tampering. With Box - Intelligent Content Management in place, we are able to take advantage and store it on the cloud, where we are able to securely share and control who has access to the content. Therefore, it enhances our document security. On top of that, it is a platform that has very strong integration capabilities. When it came into our organization, it was able to merge and integrate with the existing platforms such as CRM and other customer service platforms. This helps to offer an all-around user experience, and it has made our portfolio and the implementation of our workflow seamless.
Regarding integration, a platform we connected Box - Intelligent Content Management with is a platform we use in offering customer support services. When we integrated it, we needed to have an overview, and clients usually send files and content that needs to be stored that is very crucial and requires safekeeping. Sometimes they send us their data, customer personal information, and other files that are related to what they are looking for in the organization. We needed to manage that content efficiently, and Box - Intelligent Content Management stepped in and integrated well with our customer support service platform. Whatever files we receive from clients are now securely stored in a central repository. We are also able to share whatever they are requesting, and we are able to send documents over. In that whole process, the content we share with our clients is well-managed and well-stored.
What needs improvement?
A number of areas exist where there needs to be improvement. One is on the cost. The costs in accessing the advanced features of the platform are quite high to small users. This makes the platform to be more suited for middle-sized organizations and large enterprises that have a huge portfolio and are able to implement the platform in a secure manner. Additionally, it is a platform that depends on the internet, and proper internet connectivity is needed. If there is a time when you do not have a secure internet connection, you are not able to access and share content with the required simplicity and speed. If there is a way that the offline mode can be introduced and still maintain the security features of the platform, it will go a long way in helping users adopt and use the platform in a very secure manner.
I can also discuss the performance of the platform, not necessarily the cost. It requires one to have a cloud storage option that is strong and secure. If the cloud solution provider that you use is not well developed, the platform will have challenges in terms of access to data and storing the content.

For accuracy and reliability of output, the output has never been in doubt. It is superb, and the AI capabilities in terms of content management are thorough and error-free. I find it reliable and one that will provide accuracy in content management. I would rate this product an eight out of ten.

Secure file governance has improved collaboration and automation for client document workflows
What is our primary use case?
Box - Intelligent Content Management is used for file storage for clients and provides a secure way to share files with other people as well as internally with our team.
Box - Intelligent Content Management is integrated with our cloud instance, allowing us to query files based on natural language. This helps us pull up different programs we might have saved or documents that are in there that we can access, review, and share out if needed.
The other primary function is that it's our main file share solution that we suggest out to clients, just because of the ease of use and the customization settings that have been available.
What is most valuable?
The best features are around security, being able to set up different groups, and the governance features are really great. The new AI functionality that they released has been pretty handy.
For governance and security, the audit trail capability is excellent. We are able to see when people interact or change files or if something was deleted, and we can go through and review that audit trail. The AI has been great for creating different workflows that we are able to execute. When a form gets submitted into Box - Intelligent Content Management or a file is uploaded, there are certain automations that we can put in place to where it can essentially generate tickets in our system for new users or other tasks.
What needs improvement?
I would suggest more out-of-the-box integrations as far as the automations go. Box - Intelligent Content Management has many templates, and you can customize some things, but there appear to be some limitations to those. If they could open that up more, it would be beneficial.
Additional customization with the automation workflows that Box - Intelligent Content Management offers would be helpful.

I have been in this field for seven years.
What do I think about the scalability of the solution?
Scalability is excellent. Adding or removing people is very easy. Box - Intelligent Content Management plans have unlimited data, which is great. If you are adding more files, it is easy to just add and continue.
How are customer service and support?
Customer support is adequate. I find it rather difficult to get in touch with someone, but typically once you do, they are able to provide assistance on whatever you need.
Which solution did I use previously and why did I switch?
We were using SharePoint from Microsoft, and we switched because Box - Intelligent Content Management is easier to interact with and share files with people. SharePoint is a little cumbersome for our needs because of the different sites and everything you would need to set up.
What's my experience with pricing, setup cost, and licensing?
Box - Intelligent Content Management has fairly good pricing for licenses, especially if you do an annual plan. We always suggest our clients do a month-to-month plan so that they have flexibility to go up or down if they are onboarding or offboarding users.
Which other solutions did I evaluate?
We looked at Dropbox as well, but the Mac integration with Dropbox is not as good as Box - Intelligent Content Management's.
What other advice do I have?
Box - Intelligent Content Management is a private cloud solution. We use Box - Intelligent Content Management servers in order to house the data.
It gives our clients and our team members another way to access it, so you do not have to go through the web. The way Apple has everything set up with cloud storage integration is very seamless, and Box - Intelligent Content Management seems to be on top of changes that Apple makes. They adapt very quickly to that.
With us being an all Mac managed service provider, we find that the integration Box - Intelligent Content Management has with Finder is really good with the syncing. It is probably one of the better file-sharing solutions when it comes to that, which is the big reason why we suggest it out to our clients.
If you do not have any kind of folder structure currently, you should put that in place prior to adding your data into Box - Intelligent Content Management. This way you can start with a clean slate in a proper folder structure.
Box - Intelligent Content Management has a formal partner program, and we do have contacts within Box - Intelligent Content Management specifically that we leverage with our clients. I would rate this product a 9 overall.
Structured cloud storage has streamlined document collaboration and automated workflows
What is our primary use case?
My main use case for Box is storing cloud content on its cloud and managing it as a collaborating platform so that I can store secure files and share through Box. I use it for document management and in my automations.
When I open Box day-to-day or week-to-week, I look for organizing the files first, as document sharing is my main focus on the Box platform.
The scope of my use of Box is mostly solo only; it is on my personal account.
What is most valuable?
The best features of Box for me include the structured file organizing, which is the most important part I found. Apart from that, secure sharing and integration with automation platforms, along with its smooth integration and usage in automations, is a very big plus for me. That is the reason I shifted from other platforms to Box.
Box has impacted my work by providing essential file structuring, which is the most important part of any cloud storing platform, and it stood out. What piqued my interest more is the use of Box and the smoother process in integrating it into my workflows, another major plus point that I considered when deciding which platform to choose.
Additionally, I recall that there are features in Box related to signing signatures that I did not use during my internship, although I would have if I had used Box for my current work. That is one feature I think I have not explored yet.
What needs improvement?
The biggest friction point I have encountered with Box is mainly the pricing part; I think five dollars for this platform is not necessarily justified. While I have used it for integrating and using it as a cloud platform, I have not encountered any significant negative aspects. A few times, I might have faced performance issues, but I am uncertain whether that was due to the automation platform or Box itself. Overall, the only thing I could mention is that it can take a little time to understand how the integration works with Box; setup and figuring out what can and cannot be done might take some time, but other than that, I do not think anything else bothered me.
One thing I would want Box to introduce to improve the platform and make it stand out even more would be incorporating AI. For example, the only way to identify documents shared in Box currently is by their names, and if those names are not precise, I can get confused. If Box had an AI feature to summarize and identify documents based on their contents, it would significantly enhance usability. AI is essential for making work easier, so that would be an excellent addition to the platform.
For how long have I used the solution?
I have been using Box since I used it last year, and I had used it many times for my previous internships.
Which solution did I use previously and why did I switch?
Before I landed on Box, I was storing files in Google Drive, but I moved from Google Drive to Box because I was building workflow automations during my last internship. While I was working there, I was fetching documents that I saved or creating new documents, and I faced limitations with Google Drive. Instead, I moved to Box where file storing was very structured, and the automation part was smoother, so I shifted to Box.
When evaluating options, I did not specifically go through many platforms to finalize on Box; the reason was simple. I just wanted to store documents and access them easily. Besides Google Drive, I was also using Microsoft's OneDrive, which is similar in storing documents on the cloud. However, for me, the automation was of higher priority or importance, and the only platform that stood out among the three was Box. So I moved to Box and used it in my automation workflow.
How was the initial setup?
When I first implemented Box, it took hardly half an hour or even less to get up and running, as I did not have to give much more time into setting up the platform.
What about the implementation team?
My team did not need any formal training on Box, as it was pretty intuitive to pick up, and it was just me using it to store files and then sharing them with others.
What other advice do I have?
On a scale of one to ten, I would rate Box a nine because I do not think there is anything to point out negatively for the platform. If I were to guide newcomers, I would advise them to go through the documentation first, as understanding the platform depends on that. The documentation for Box is superb, and if you understand it well, there should not be any issues that you will face. There may be minimal time consumed for integrating or understanding how Box can be integrated into the automation platform, but I do not think there is much of a learning curve needed for this type of platform. I rated this review a nine overall.
Team collaboration has improved through shared access and real-time synchronization
What is our primary use case?
I use Box, Delphi, and IBM FileNet. I worked for a software company as a project manager, and this experience includes FileNet. I also used Delphi for programming work. I am familiar enough with Box to answer questions about it.
What is most valuable?
I find the synchronization feature most valuable in Box. When I use multiple devices, it syncs them together and gives excellent results.
I can assess the benefits of Box's file sharing. Box's integration with third-party apps is valuable, especially with Outlook.
Box has helped my team's productivity by being very helpful with team collaboration when we are sharing certain shared documents between us.
I mostly value Box's automation capabilities. They have helped optimize my business processes by saving time for sharing or sending files between the team. This gives us a shared workspace to work together on the same document or the same ideas.

What needs improvement?
I believe Box has a lot of features that put it in a good rank among the file-sharing apps. I would like to see features for online collaboration between team members in the future, to open and see who is accessing the document now and see my movements across the document or the file we are sharing together.

I did not use any metrics to evaluate Box's effect on my team's workflow efficiency.

I left IBM totally, and I work in another technology stack now instead of IBM FileNet. I am not using anything in particular at the moment.

Box is very easy to use and easy to implement. I did not need to refer to any support regarding any issue that appeared to me.

I found the pricing reasonable because when I was working for an IBM partner, Box was free for us. We did not go to payment and other matters like this.

Box is one of the top three file-sharing apps in the market. I have used Drive and OneDrive, but Box has many more features than both.
What other advice do I have?
I would like to see features for online collaboration between team members in the future, to open and see who is accessing the document now and see my movements across the document or the file we are sharing together.
I would generally recommend Box to others. I was a user of Box, a good user, and I was an appreciated user.
