What counts as one token, and how is the pooled token allotment shared across our account?
Tokens measure the text your team sends to and receives from the assistants. Your allotment pools across all users on the account, not per seat. Everyone draws from the same monthly pool. When combined usage passes the allotment, PH360 Token Overage bills per 1 million tokens on top of your seat charges.
What is the difference between a PH360 Basic seat and a PH360 Professional seat?
A PH360 Basic seat gives a user chat, pre-built chatbots, records retention, and basic support. A PH360 Professional seat adds the Oak Agent Builder for authoring your own assistants, on top of everything in Basic. You assign builder access only to the staff who create agents; others use Basic.
Does going over our token allotment raise our seat charges, or is overage billed separately?
Seat charges stay fixed regardless of token use. Overage is billed separately through the PH360 Token Overage dimension, metered per 1 million tokens above your pooled allotment. Both charges appear together, but crossing the allotment does not change your PH360 Basic or Professional per-user pricing.

Vendor refund policy
Annual subscription fees are billed in advance and are generally non-refundable. The one-time implementation fee is non-refundable once work has begun. To cancel, provide 30 days' written notice; appropriation-dependent agencies may terminate at the end of the fiscal year with the same notice. For billing questions or refund requests, contact support@ph360.io. We review each request individually and process any approved refund through AWS Marketplace.

Reporting issues and incidents
You can report four categories of AI output concern through support: biased or discriminatory outputs, materially inaccurate information, systematic errors, and outputs that may violate applicable law or professional standards. We investigate and remediate. For security or data incidents, we notify affected customers within two business days; for incidents involving protected health information, notification follows the timeline in your Business Associate Agreement.
